Grok Bot: three roles to avoid a single authority

The sales case published on x.ai splits account preparation, proposals and review of terms among three shared agents.

Preparing a proposal and approving it should not become the same act just because an agent is involved. The case published on x.ai on 27 October presents three shared Grok Bots, tied to distinct roles in the sales cycle of the team described by the vendor.

Separate responsibilities

Account Intel prepares accounts and keeps Salesforce up to date. Quote Bot produces pricing proposals and prepares orders. Deal Bot supports the review of special terms and approvals. Each agent acts with the user’s permissions, supplemented by restrictions on sensitive operations and rate limits.

The vendor states that a salesperson cannot have their own discount approved by Quote Bot. Customer-facing communications remain subject to human review. These are concrete organisational rules; the testimonial does not provide an independent measure of their effectiveness.

Adapt rights before vocabulary

A house could draw on this separation for a process in which several people are involved in a private relationship or a purchase. It would first need to define who prepares, who arbitrates and who can commit the company, then determine the data each role requires.

Sharing an agent also raises a question of maintenance. When the rules change, the update must reach all of its users without inadvertently widening their rights. A trial should therefore include a change of procedure and a revocation of access. The value of a collective agent would then be judged by its ability to stay consistent with the organisation, not by the fluidity of its answers alone.
